The company is experiencing challenges with their existing process for document negotiation and engagement, which requires manual sending of forms and other documents to clients at each stage of the engagement process. Additionally, team members are required to receive email notifications at each step of the process. These manual processes are time-consuming and prone to errors, resulting in reduced efficiency and increased risk of miscommunications. Meritage Partners is looking for a solution to automate these processes within Zoho CRM to streamline their operations and improve their overall efficiency. The process of purchasing and selling businesses, matching sellers with buyers, marketing automation to potential buyers, and tracking every step of the process had overwhelmed to management of the company. Without a centralized system in to efficiently track the process of sales, automatically populate and eSign documents, collecting application forms information and files in place had become a bottleneck for the company. As a result, Meritage Partners were looking for a solution to be build to streamline and digitalize the business processes.
To address Meritage Partners’ challenges, our team conducted a system review and gap analysis to identify areas for improvement in their CRM system. We then designed and implemented improvements to their CRM system, including setting up organization details, customizing the account, setting up basic modules, identifying users and setting their roles and profiles.
We created a Lead Nurturing Blueprint and Engagement Blueprint to automate the lead nurturing and engagement process, reducing manual tasks and improving efficiency. We also integrated a web form for their contact page to streamline the process of capturing and managing new leads.
To help Meritage Partners track and measure their progress and performance, we created 5 reports and dashboards. We also implemented a function to copy industry between Accounts and contacts to improve data consistency and created a sync/email list between CRM and Campaign for Industries to help automate their marketing efforts.
Finally, we implemented automation, auto-responders, task assignments, and reminders to reduce manual tasks and improve efficiency. We provided training to Meritage Partners’ team members to ensure they were equipped to use the new CRM system effectively and provided ongoing support to ensure the new system was running smoothly and any issues were addressed quickly.
After reviewing the business processes and existing Zoho CRM in place, Boosted CRM recommended a solution to streamline these process: lead management, NDA sign, Teaser Sent, CIM sent, and Engagement agreement signed. Once the Engagement Agreement was signed, the process of marketing automation will start to send a series of email to potential buyers in the system. By collecting the information of potential buyers, the system would provide a database of investors who would be interested in purchasing the business. The users of the system could easily track the status of each lead and engagement. Finally, for buyers and sellers needed a secure portal to fulfill transactions and watch dashboards.
The implementation of our solutions has had a significant impact on Meritage Partners’ operations. By automating their processes within Zoho CRM, Meritage Partners has saved time and reduced the potential for errors or miscommunications. Streamlining and automating the process of buy-sell transactions was improved significantly. Application forms and data collection were organized and electronically signed documents were saved in the system. The step by step progress of an application processing for sellers and buyers as well as the status of each engagement were visible to the clients in the portal as well as to the users of the system.
