They turned to Zoho CRM and SharePoint Integration to find a solution, but integrating the two wasn’t exactly a walk on the beach.

Their challenges were plenty:

  1. Ensuring the SharePoint folder URL worked seamlessly within Zoho CRM.
  2. Migrating existing jobs into a new folder structure in SharePoint.
  3. Updating confusing folder names (goodbye, “Easy SharePoint for Zoho CRM”!) and simplifying naming conventions.
  4. Creating confidential folder templates that restricted sensitive files to authorized personnel.
  5. Replacing the old OneDrive extension with SharePoint while ensuring the new system supported hidden admin-only folders.
  6. Automating the creation of PO subfolders for every job to streamline purchase order management.

  5. Replacing OneDrive with SharePoint: We uninstalled OneDrive, installed SharePoint, and added hidden subfolders accessible only by admins.

  6. Automating PO Subfolders: Every job now has its own PO subfolder, making it easy to manage purchase orders and keep things organized.

  7. Making It Mobile: SharePoint was configured for mobile access, so field technicians could easily access documents from their tablets, making their lives much easier.

After setup, users can view all their documents in one place within Zoho CRM, making document management seamless and efficient. Support agents can find all case-related documents from the CRM record or find customer records from a SharePoint document.

1. Verifying SharePoint Folder URL – Tested and ensured the SharePoint folder URL in Zoho CRM worked properly.

2. Automating Folder Creation & Migration – Built a function to auto-create job-specific folders in SharePoint and migrated existing documents. When a new list item is detected in Microsoft SharePoint, a new folder is created as a new module entry in Zoho CRM. This automation streamlines the creation and management of module entries and new entries, keeping CRM information current.

        For example, a new entry in a module such as Leads or Deals can trigger folder creation and document management workflows. When a new contact is added to Zoho CRM, the Zoho CRM and SharePoint Integration can automatically create or update the corresponding contact folder in SharePoint. Similarly, when a new lead is created in Zoho CRM, the integration can generate a corresponding folder and sync lead details with SharePoint. Zoho CRM and SharePoint Integration also supports new user onboarding by automatically creating user-specific folders or permissions in SharePoint. User triggers can be set up to automate actions or notifications when a new user is registered in the system.
